1. Map the systems
| Connection | Source of truth / owner | Read or write | Required fields / action | Failure path |
|---|---|---|---|---|
| Customer channel | ||||
| Knowledge source | ||||
| Business system | ||||
| Human handoff | ||||
| Reporting destination |
2. Confirm the boundaries
| Review item | Question to resolve | Owner / evidence |
|---|---|---|
| Access | What permissions are needed? Who approves, rotates and revokes access? | |
| Personal information | Which fields are necessary? Which should be excluded or redacted? | |
| Processing and retention | Where is information processed? How long is each record retained? | |
| Model and subprocessors | Which providers receive data? What are their data-use and retention terms? | |
| Action control | Which actions can run automatically and which require approval? | |
| Failure handling | What happens on timeout, stale data, denied access or a partial write? | |
| Audit and support | Which events are logged and who investigates problems? |
3. Prepare the test
- Use a permitted test environment and approved example data.
- Check happy paths, missing fields, expired permissions and unavailable systems.
- Confirm the same request cannot create unintended duplicate actions.
- Verify handoff context and the recovery process.
- Record the person who approves each connection for production.
